Before the tenant's belongings come in, go room by room. Mark each item good, fair or damaged and write down anything specific, such as a stain, a chip or a scratch.
Download the PDF, have the landlord and the tenant both sign and date it, and give each side a copy. Photos taken the same day are worth attaching.
Load the same checklist, switch to move-out and record the condition again. The PDF puts the two columns side by side so changes are easy to see.
The point of the checklist is to have one record, agreed by both sides, of what the unit looked like at the start and at the end of the tenancy.
Walls, floors, windows, doors, lights and outlets in each room, plus the appliances and fixtures that come with the unit.
A rating alone is not much use later. Note exactly what you see and where: a burn on the counter left of the stove says more than "fair".
Recording both inspections on the same form is what makes it possible to tell new damage from what was already there.
